The Central Board of Secondary Education (CBSE) has issued fresh directions to schools to streamline the process of correcting students’ demographic details, saying schools and parents get about 20 opportunities to verify the information between Classes 9 and 12.

In a circular dated September 23, 2026, the Board said it is important that the Mark Sheet-cum-Passing Certificate issued after Class 10 and 12 examinations contains the correct demographic details of students.

CBSE said schools must ensure that students’ details are accurately recorded in admission forms, scholar registers and admission-withdrawal registers. Transfer certificates issued by schools must also carry the correct demographic information.

The verification process begins with Class 9 registration, when parents and schools are required to verify and certify the correctness of the details. After registration, CBSE provides a correction window to allow schools to rectify errors in the uploaded data.

Schools are also directed to download students’ registration cards and provide them to students for verification. Before submitting the List of Candidates (LOC) in Class 10, schools must once again verify the registration data and obtain confirmation from parents. A further correction window is provided after LOC submission.

Before the examination, students, parents and the school principal are required to give an undertaking confirming that the demographic details mentioned on the admit card are correct. Schools can also send requests to CBSE for corrections before the declaration of results.

After the results are declared, passing documents are issued along with another undertaking confirming the correctness of the student’s demographic details.

According to CBSE, the entire process is repeated during Classes 11 and 12. The Board said this means schools and parents get around 20 opportunities to ensure that the details are correct.

Despite these repeated verification opportunities, CBSE said it continues to receive a large number of requests for correction in students’ demographic details after results are declared.

The Board identified several problems with such requests. These include schools sending incomplete requests, failing to provide supporting records from all previous schools attended by a student, submitting documents that are not clearly visible and sending documents containing multiple cuttings.

CBSE also said schools sometimes fail to respond after the Board asks them to provide additional documents, which causes further delays in processing correction requests.

CBSE has now directed schools to ensure that demographic details in all school records are 100% correct and that instructions issued during registration and LOC submission are strictly followed.

Schools must obtain confirmation from parents regarding the correctness of the demographic details. When sending a correction request to CBSE, they must provide all certified records from previous schools where the student studied.

The Board said schools must submit complete certified records so that correction requests can be processed within the minimum possible time. Incomplete requests will be summarily rejected by CBSE, the circular states.

The Board also said it has observed cases where students approach CBSE directly, send legal notices or approach courts for correction of demographic details.

CBSE has further asked schools to guide students to route such requests through their schools instead. According to the Board, such direct approaches can delay decisions because the required school records may not be available.
